Setup Day Assistant

4-5 volunteers to help set up the day before the conference, Monday June 23, 12-5pm.

Assistant Volunteer Coordinator (8am to 9pm)

Daytime and evening volunteer coordination. Two volunteers at least to cover 8am to 6pm and one volunteer to cover 6pm to 9pm. One volunteer coordinator is needed for each 4-hour shift


  • Familiarize yourself with the other volunteer positions.
  • Familiarize yourself with the conference schedule.
  • Help re-assign volunteers (starting with "Floaters") as needed to fill gaps in the schedule.
  • Greet volunteers who are starting their shifts and give them basic instruction on what to do.
  • Ensure each volunteer signs in for their shift.
  • Answer volunteers' questions as they arise.

Need: One assistant volunteer coordinator is needed for each 4-hour shift

Catering Assistant

Help serving Breakfast, Tea, and Hearty Snacks (bonus points for any food service background)


  • Help open and plate food for serving
  • Ensure sufficient service items (e.g., napkins, plates, etc) are available and work with Sextons as needed (e.g., running out of coffee cups)
  • Label food for serving clearly
  • Be mindful when putting out food to avoid possible allergen issues
  • Keep an eye out on food during service to see if we need to replenish any food or service items

Happy Hour Beer Server

Serving beer.

Requirement: Volunteer must be over 21 and have OLCC training or server's card. Training available on site for those without a card.

Note: One trained server must be available at all times when beer is served


  • Set up beer for serving
  • Serve beer to participants in accordance with training
  • Replenish glasses with needed, working with Sextons
  • Help break down kegs for storage for night


Assisting with various tasks as needed to keep conference running smoothly.


  • Pick up tasks during the conferenceas as directed by volunteer coordinator
  • Running quick errands on site (running extra supplies to a needed room, for example)

Need: 4-5 volunteers needed during the day and 1-2 volunteers needed during the evening BoFs (until 9pm).


Welcome people to the conference on the first day, provide directions to registration and rooms.


  • Stand directly outside of the Eliot Center and welcome attendees to the conference.
  • Direct attendees to registration.
  • Answer questions.
  • Familiarize yourself with the nearby bike and car parking options.

Need: 3-4 volunteers per shift.

Hacker Lounge Assistant

Hang out in the hacker lounge and make sure things run smoothly.


  • Hang out and be social.
  • Let people know that you are there to answer questions and help.
  • Greet people. Help them find the group, project or challenge they are looking to meet up with.
  • Let people in/out of the building during after-hours times.
  • Be friendly, yet security conscious — be aware of who is attending in the space, particularly in after-hours.
  • Review the projects and challenges scheduled for hacker lounge that evening, and get to know what's available to suggest to people. Be available to help groups.
  • Encourage groups to advertise what project they're working on (we will have card stock with which people can make signs).
  • Help set up supplies if needed, such as stationary, white board markers/erasers, and projector if we have one.
  • There may be more than one coordinator on duty at a time. Introduce yourself to each other.
  • Check in with the next coordinator as your shift is ending and let them know how things are going.
  • Help keep the wiki updated on project/commit/challenge accomplishments.
  • Have contact info on hand and get in touch with a core volunteer, Eliot Center personnel or Seamless Wireless if any issues arise.
  • Keep the food, beverage and snack table stocked and periodically clean up the space.
  • Help ensure that any outside food and drink containers are disposed of when done, and that the food area and entire lounge space are tidied up before the end of the night.

Need: 2-3 volunteers needed in 2- and 4-hour shifts.


Help out at the registration desk.


  • Registering attendees
  • Badge distribution & printing
  • Answering questions.

Registration Assistant Coordinator

Act as a back-up for Kirsten, the registration coordinator. Help out at the registration desk (registering attendees, badge distribution & printing, answering questions).

Session Chair (one per room)

The primary job of the session chair is to be present during talks, assist with any issues that arise, give the speaker timing cues, and start the Q&A portion (unless otherwise directed by the speaker).


  • Be in the session room 5-10 minutes before the start of the session.
  • Get the session comment card from Session Runner.
  • Introduce yourself to the speaker and let them know you are available in case they need anything. Let them know you will be introducing them.
  • Verify the pronunciation of the speaker's name and the title of their talk.
  • Ask the speaker if they would like to have a Q&A session at the end of their talk.
  • Remind the speaker to speak into the microphone (that's how session audio is recorded)
  • Welcome people to the room.
  • Announce the talk title and speaker so people know they are in the right place.
  • Take a headcount a few minutes into the session.
  • Record the headcount along with any comments on the session comment card (see Volunteer Coordinator if you don't have one).
  • If there are any A/V issues, get an A/V tech (from Seamless, in the black polo shirts).
  • Hold up 10- and 5-minute left signs at the appropriate times.
  • When the speaker is done, stand up, thank them, and then kick-off Q&A period.

Need: 1 volunteer per room per session block. Shifts match the session times: 9:45 to 11:45 13:15 to 15:15 15:30 to 17:30.

Session Runner (one per room)

The primary job of the session runner is to make sure the speaker is on time and prepared for their talk.


  • If possible, identify your speaker ahead of time.
  • Be in the speaker room 15 minutes prior to session start.
  • Pick up the session comment card for your speaker/talk.
  • Identify your speaker and introduce yourself.
  • Verify the speaker has everything they need and is prepared to give their talk.
  • Assist the speaker if they are having any difficulty preparing for their talk (e.g. help them find a video adapter, etc.)
  • Copy the speaker's slides to one of the USB keys.
  • Accompany the speaker to their session room 5-10 minutes before their session will begin. Make sure to bring the session comment card with you.
  • Introduce the speaker to the session chair and A/V staff.
  • Give the session comment card to the session chair.

Speaker Liaison

Monitor the speaker lounge. Welcome speakers and help them with any issues that arise.


  • Regularly check to confirm speaker lounge refreshments are restocked as necessary.
  • Hang out and assist any speakers with questions or issues as they arise.
  • Remind the speaker to speak into the microphone (that's how session audio is recorded)
  • See the Volunteer or Logistics Coordinators if you are asked a question you cannot answer.

Need: 1 volunteer per shift.

Load-out Support

Help break it all down after we wrap on Friday, post-conference, and pack up supplies for the movers.

Line Wrangler

Help keep the line for the lunch buffet moving smoothly and direct people to the correct place!


  • Check with catering logistics area 15 minutes prior to lunch service
  • Help direct flow of traffic
  • Keep the line moving smoothly from start to finish
  • Direct people on where to take lunch to enjoy
  • Bonus* you get to go first the next day for your meal.

Party Assistant

Help with party (bonus points for any food service background)


  • Set up and arranging decorations, help caterers (possibly picking up dessert), and helping DJ move in equipment
  • Help arrange food, clearly label food for serving, replace food trays as they empty, help package leftover food
  • Ensure sufficient service items (e.g., napkins, plates, silverware, etc) are available
  • Monitor games/activities
  • Help with clean-up, taking down decorations, load out, etc

Social Media

We are looking for apt people to monitor and respond to questions on social media during the conference (subject to approval).


Pick up goods, food, or people with motorized vehicle, preferably their own.

Drivers License required, must be 21 years of age.

General notes

  • All Volunteers must check in for your shift at the volunteer lounge (initial on the schedule next to your name).
  • Engage people in conversation who look lost or confused, helping make sure everyone is getting around okay.
  • Check with volunteers at other stations periodically and see if anyone needs to be relieved for bathroom breaks, etc.
  • Use Floater or Volunteer Coordiantor to Help track down an A/V tech (there are two of these on staff from the A/V company during the day) or the Logistics Coordinator to deal with A/V and setup needs as they arise.
  • Evening event support volunteers should note attendance and content for the BoFs.
